4.2 Staff, substitute, volunteer orientation

Even the best, most well-thought-out emergency plans won’t be effective if staff, substitutes, or volunteers are not properly trained. Everyone involved must understand both their own responsibilities and those of others, and they should have opportunities to practice through drills and training.

Through active participation, adults and children learn how to respond appropriately if an emergency does occur.

What staff/substitutes and volunteers must know

Location of emergency supplies (emergency kit/bag, important documents, medications, and equipment for children with special health needs)
The building’s layout and key safety considerations
How to respond during emergencies and drills, such as:
- Fire drills and lockdowns
- Protecting children from potential intruders inside or outside the building
- Understanding that a fire alarm may cause children to unknowingly move toward an area where an intruder could be waiting
Accommodations for children and staff with special health care needs, including:
- Medications
- Individualized treatment plan
- Assistive devices for communication and mobility
Safe evacuation procedures for infants, toddlers, and children with developmental or physical conditions
Plans for meeting children’s hygiene and nutrition needs, especially for infants and toddlers

Preparedness goes beyond creating a basic plan. All adults are responsible for ensuring the safety and well-being of every child—especially those with special needs—by understanding and practicing the steps needed to support them in any crisis. Document efforts in orienting adults serving in some capacity in child care with Staff Orientation Verification (PDF, LFCCH, CTR, LOC) and Substitute/Additional Adult/Volunteer Orientation Verification (PDF, FCC).
